PAIA Manual

This manual explains how a requester may access records held by School Tracker (Pty) Ltd under the Promotion of Access to Information Act (PAIA), and how we handle personal information under POPIA.

2. The Information Regulator

Requesters may contact the Information Regulator (South Africa) regarding the application of PAIA or POPIA: inforegulator.org.za.

3. Records held by School Tracker

• Account records - parent name/alias and email address.
• Academic tracking records entered by the parent - grade, subjects, school name, co-curricular activities, marks and deadlines (deleted after each school year).
• Company records - statutory, financial and operational records held as required by law.

4. How to request access

To request access to a record, submit the prescribed PAIA request form to the Information Officer by email at support@schooltracker.co.za, describing the record sought and the form of access required, and providing contact details for our response. We will respond within the periods prescribed by PAIA. Prescribed access fees may apply, in line with the PAIA regulations.

Identity and personal information. School Tracker does not verify the identity of the person who signs up, and holds no verified identification for any account holder or child. For this reason we are unable to authenticate a requester's identity, or to confirm that records said to be "about a person" in fact relate to that person. We therefore cannot provide information about a particular individual, and requests for another person's personal information will be declined - access to a third party's personal information is in any event a mandatory ground for refusal under PAIA. We can, however, provide information about the operations of the company, subject to the grounds for refusal below. If you are an account holder and want your own data, you can view, correct or delete it directly in the app at any time.

5. Grounds for refusal

Access may be refused on the grounds set out in PAIA, including the mandatory protection of the privacy of third parties and the commercial information of the company.
