Terms of Service
These Terms govern your use of the School Tracker Progressive Web Application and website (the "Service"), operated by School Tracker (Pty) Ltd ("School Tracker", "we", "us"). By creating an account or using the Service, you agree to these Terms.
1. The Service
School Tracker is a dual-dashboard application that helps South African parents and learners track and manage academic progress, subject choices and co-curricular activities across the school year, aligned to the CAPS curriculum. School Tracker is an independent product and is not affiliated with or endorsed by the Department of Basic Education.
2. Accounts and eligibility
Accounts are opened by a parent or guardian, who acts as the "Competent Person" consenting to the processing of a child's information under the Protection of Personal Information Act (POPIA). Access is offered on an open-enrolment basis - we do not carry out identity-number validation, income verification or affordability means-testing. You are responsible for keeping your login secure and for the activity on your account.
By signing up you represent that you are an adult and the parent or guardian of the child or children whose details you enter. Because we keep no identifying documents, we do not and cannot verify this - our agreement is with the person who signs up, on the strength of that representation.
3. Free trial
New accounts include a 30-day free trial with no card required. After the trial you may choose a plan to continue.
4. Fixed-term plans (half-year and full-year)
The Standard Tracker is offered as a fixed-term, seasonal plan: a full year (January–December) or a single school half (January–June or July–December, from 2027). The following applies to all of them. The Premium Add-On (Revision Notes & Quizzes) is an optional upgrade within the same app, billed separately, whose sign-up and pricing open on 5 October 2026.
4.1 Social accessibility mandate
Our fixed-term plans are made universally available to all users without any requirement of financial qualification, income verification or affordability vetting.
4.2 Operational discount rationale
The discounted annual fee is made commercially viable by settling the annual fee in advance as a single transaction, which removes ongoing monthly gateway and billing-management costs. Those savings are passed to you as a reduced annual fee.
4.3 Fixed duration and hard expiry
Each plan begins on the date payment is processed. A full-year plan ends with finality at 23:59 on 31 December. A half-year plan ends at 23:59 on 30 June (January–June) or 31 December (July–December). Fixed-term plans do not auto-renew - access ceases at the end of the term unless you manually opt in for the next term or year. We will notify you before the term ends of your manual renewal options.
4.4 Pricing transparency and universal eligibility
All pricing tiers, feature sets and billing structures are published publicly on our platform. We do not conduct background financial assessments, identity-number validations or means-testing. Prices are final; School Tracker is not VAT-registered. Payment is taken only through the app, via a third-party Payment Processing Company; we do not handle or store your card details and receive only confirmation of payment from that company.
4.5 Non-refundable seasonal allocation and early termination
In terms of Section 14 of the Consumer Protection Act (No. 68 of 2008), you acknowledge that each fixed-term plan is a deeply discounted seasonal fee structure. Owing to the upfront allocation of system infrastructure and the minimal residual value after gateway clearing costs, voluntary early cancellation before the end of the term does not entitle you to a pro-rata cash refund.
4.6 Your information, renewal and deletion
All information about your child under your account belongs to you. You may delete any and all of it yourself, at any time, from the app. If you renew for another contract-period or calendar year, you keep whatever information you choose to retain. If you do not renew, we keep any information you have not deleted for up to 30 days beyond your contract's end date - or until 30 January for contracts ending on 31 December - after which we delete all information relating to the un-renewed plan without exception. Once information is deleted, the app has no facility to retain or recover it.
5. Monthly Tracker plan
For families who prefer to spread the cost, the Tracker is also offered (from 2027) as a month-to-month plan, priced by family size from R50 per month for the whole family (up to four children). This plan is the Tracker only - it does not include the Study & Revision content (revision notes and quizzes). It has no fixed-term commitment, and is renewed only when each month's payment is confirmed. If a payment is not received: after 2 days we send a message reminding you to pay the account; after 30 days without payment the plan is terminated and your account and your children's sub-accounts are blocked; and after 45 days without payment we delete all information relating to the plan.
6. Adding children during the year
You may add a child at any time. Because a mid-year addition is a separate change handled on its own, it is charged at R60 per child (covering admin and payment fees) until your next renewal.
7. Acceptable use
You agree to use the Service lawfully, to enter accurate information, and not to attempt to access other users' data, disrupt the Service, or reverse-engineer it.
To the maximum extent permitted by law, School Tracker provides the Service "as is" and is not liable for any indirect, incidental or consequential loss arising from your use of, or inability to use, the Service. Nothing in these Terms limits any rights you have under the Consumer Protection Act that cannot lawfully be excluded. This clause is drawn to your specific attention in accordance with Section 49 of the Consumer Protection Act.
9. Your information
All information about your child under your account belongs to you, the parent. Only you may share it with a third party, if you choose to. Under no circumstances will School Tracker provide your information to any third party. We collect only your name and email address, and the details you enter about your child - their name or alias, grade, subjects, activities, and school name and address - with no contact details or personal identifiers for the child. Our full handling of your information is set out in our Privacy & POPIA statement, and explained simply in Our agreement with you.
In these Terms, "parent" includes a legal guardian. We deal only with the account holder and have no obligation to provide information to anyone else. Any person who claims to be a parent or legal guardian of a child on an account must take that up directly with the account holder, not with us. We do not verify family relationships or identities, and we will not become involved in disputes between parents or guardians.
10. Governing law
These Terms are governed by the laws of the Republic of South Africa, including POPIA, the Consumer Protection Act and the Electronic Communications and Transactions Act. Disputes are subject to the jurisdiction of the South African courts.
